Set up Tally
Connect your store, add Tally to Claude or ChatGPT, and invite your team. The first copy takes from a few minutes to a few hours; adding your AI app takes about ten minutes.
1. Connect your store
The owner or an admin does this once.
- Sign up. You connect Lightspeed and pick your stores along the way.
- Sign in to Lightspeed Retail and approve access. Tally reads, and changes nothing in Lightspeed unless your shop’s owner turns changes on. What the approval covers
Use a Lightspeed account that can see every store and cost, or costs won’t come through.
2. Let the first download run
Tally copies your items, stock, customers, sales, work orders, transfers, and purchase orders (full list). Overview shows progress. You don’t need to keep it open.
After that, sales, stock, and work orders stay about a minute or two behind while your stores are open. Everything else is refreshed about every 15 minutes. Both plans get the same refresh.
3. Add it to your AI assistant
Everyone uses the same connector link and signs in as themselves:
https://tally.backspinlabs.com/mcp
- Add to Claude: web, desktop, and mobile
- Add to ChatGPT: Business, Enterprise, and Edu
4. Invite your team
Bring in as many people as you like. There are no per-person fees.
- On Team, enter their name and email, pick Staff or Admin, and tick what they can see.
- Click Send invite. They get an email with a link. They have no access until they accept.
- They sign in at https://tally.backspinlabs.com/signin with that address.
Removing someone signs them out everywhere, right away.
To add another owner, invite them as an admin. Once they’ve accepted, press Make owner next to their name on Team.
5. Set who sees what
| Role | Can do |
|---|---|
| Owner | Everything an admin can, plus agree to the shop’s terms, change billing, add and remove owners, set how much sales history to keep, and disconnect and delete the copied data. |
| Admin | Connect the store, invite and remove people, change access and settings, and see the activity log. |
| Staff | Ask questions, and sign out their own connected AI assistants. |
Each person also has three switches. Owners and admins have all three on.
- Can see costs and margins: costs, profit, margin, and inventory value at cost.
- Can see customer details: names, contact details, and purchase history. Emails and phone numbers come up only when a question asks for them, or in a customer export.
- Can see team figures: sales, discounts, refunds, voids, and labor by employee.
With a switch off, the answer leaves that out and says so.
6. Pick your open stores
To leave a store out of every answer, untick it under Settings → Open stores.
7. Teach it how your shop works
When your assistant asks how you handle a job, tell it the steps. It offers to remember them, along with store nicknames, your words for things, and fixes. Everyone at the shop shares these notes, so leave out anything private.
A note only helps it know your shop. It never okays anything for you or gives anyone more access. See or remove notes on the Memory page.
Ask your first question
Start a new chat and ask something you already know, like last week’s sales at one store. Then see what else you can ask.
